
The opportunity
University of the Arts London (UAL) is looking for an experienced administrator to play a pivotal role in the day-to-day operations of our vibrant UAL Short Courses (UALSC) business, as a Planning Assistant.
Based at designated locations across various UAL sites, you will assist with the planning, scheduling, coordination and delivery of onsite, online, and customised short courses and activities. This will involve creating, reviewing and coordinating the publication of course schedules across UALSC, working towards agreed deadlines.
You will liaise with Timetabling, Specialist Technicians and Estates staff to identify, confirm and book space to deliver short courses at designated sites. You will also be required to assist with the set-up and meet and greet duties on the first day of the short courses, providing a high level of professionalism and customer service at all times.
About you
Previous experience of providing administrative support in a fast-paced environment, as well as an understanding of the art and design FE and HE education system is essential. Experience using learner management systems / databases is desirable.
You need to have good organisational skills with a keen eye for detail, along with excellent IT skills and a high level of competency in Microsoft Word, Excel, and Outlook. You will be a proactive individual who is confident in your ability to raise issues and concerns with your line manager, and can use your initiative and creativity to resolve day-to-day problems. You will also demonstrate an ability to communicate confidently in a variety of ways and will be capable of working autonomously.

UAL Short Courses (UALSC) is part of the University’s department of Academic Enterprise which leads the University of the Arts London’s commercial educational operations. There are 100 staff and 1,500 hourly paid staff in Academic Enterprise, which is integral to the University’s long-term development.
Its mission is to increase the amount of income generated by the University from non-core teaching and research activities. It includes several successful existing business operations including UAL Short Courses Ltd, AE International (English Language preparation and Study Abroad) as well as UALAT.
